Chaperoning Information

 

Team travel events provide opportunities for swimmers to focus fully on their performance as they create memories and friendships that will last a lifetime.  All travel, transportation and nutritional arrangements for your swimmer will be made by the BTSC staff and chaperones. Every effort is made to ensure that our chaperoned events are safe, well organized and that our swimmers are fed nutritious and delicious food.  We also strive to be mindful of financial concerns and we do our best to make these events as cost-effective as possible. We are currently accepting applications for volunteers to fill the chaperoning roles for these upcoming events. Modified Chaperoned Explanation:

  1. Accommodations will be arranged by BTSC for all qualified swimmers, coaches and chaperones.

  2. Transportation between the hotel and the pool will be arranged by BTSC for all qualified athletes, coaches and chaperones.

  3. Families are responsible for their swimmer’s transportation to and from the meet on the first and last day of the meet.

  4. All swimmers will have a spot in a room reserved for them for the duration of the meet.

  5. Swimmers are expected to stay at the hotel with the team the night before their swim races

  6. Swimmer are expected to attend all sessions where they are entered into relays.  If you wish to decline relays this must be done via Team Unify notes before the meet response deadline.

  7. Each family will be billed for an equal share of the total cost for the event including all hotel and transportation regardless of number of meet days attended by the swimmer.


Chaperone Application Process:

  1. New chaperones - Initiate a Criminal Background Check including Vulnerable Sector screening with your local police department using the Volunteer VSC Request Letter.  This can take several weeks so please start the process now.

  2. Returning chaperones - If you have previously submitted a Vulnerable Sector Check, you may complete an Offense Declaration Form.

  3. NOTE: Vulnerable Sector Checks are valid for 3 years provide an Offense Declaration is submitted in the interim years.

  4. Complete the Chaperone Application Form.

  5. BTSC will conduct a selection process to choose chaperones for each event list above.

  6. The Team Manager will notify all successful applicants once the selection process has been completed.

Good to know:
The primary responsibilities of chaperones is athlete safety, nutrition and health of the swimmers during team travel meets.

Once the chaperoning team has been selected for each meet a chaperone information meeting will take place to discuss food preparation, travel arrangements and other relevant information.


Additional Information:

Families sending their swimmer on a chaperoned meet should consider:
• Informing the Team Manager of any special medical, emotional and nutritional needs for their swimmer.

• Obtaining out of province/country travel health insurance for their child.

ALL medications must be handed to lead chaperone with dosage information.

Chaperone team size is based on the number of attending swimmers.  The ratio of chaperones to swimmers will be 1:8 for ages 12 & under and 1:10 for ages 13 & over.
